Job Salary: $90,000-$100,000

Job Summary

Galapagos Federal Systems LLC is seeking a motivated and detail-oriented Operations Specialist to join our dynamic team of professionals supporting the U.S. Army. This role offers the opportunity to contribute to high-visibility programs in support of Army Contracting Command – Aberdeen Proving Ground (ACC-APG) and the Deputy Assistant Secretary of the Army for Defense Exports and Cooperation (DASA(DES)).

The Operations Specialist will provide non-personal administrative and business management support across ongoing and emerging programs. The ideal candidate will be capable of working independently and collaboratively to ensure efficient and compliant execution of operational tasks in support of Army and DoD priorities.

Compensation Minimum: $90,000

Compensation Maximum: $100,000

Job Requirements:

Skills / Experience

Operations Specialist Skill and Experience required:

  • Active Secret clearance
  • Proficient in Microsoft Office 365, including advanced use of MS Teams and SharePoint for collaboration and document management
  • Familiarity with ETMS2 (Enterprise Task Management Software Solution) is strongly preferred
  • Excellent organizational skills with meticulous attention to detail and follow-through
  • Demonstrated ability to perform effectively in high-visibility, fast-paced Headquarters (HQ) environments
  • Exceptional interpersonal and communication skills, with professionalism in engaging senior leaders and stakeholders
  • Key Responsibilities
  • Provide rotational administrative support for the Deputy Assistant Secretary of the Army for Defense Exports and Cooperation (DASA(DES)) and the DES Deputy Director during periods of absence, including:
  • Manning the reception desk
  • Answering and routing calls
  • Escorting visitors
  • Responding to information requests
  • Scheduling and coordinating high-level meetings
  • Serve as the primary point of contact (POC) for interactions with the ASA(ALT) Staff Action Control Office (SACO)
  • Collaborate with the DES Executive Officer (XO) and Executive Administrator to prepare, route, and track Executive Director correspondence and actions
  • Support key leadership engagements such as weekly meetings, program reviews, off-site sessions, and acquisition decision events by:
  • Preparing agendas and read-ahead materials
  • Developing and formatting briefing packages on topics including budget, logistics, test, and program management
  • Ensuring all presentation materials are properly archived in the DES SharePoint knowledge management system
  • Act as lead coordinator for incoming taskers related to supplies or service requests across DES-supported activities, ensuring timely and accurate fulfillment

Education / Certifications

Operations Specialist Education and Certifications required:

  • BS/BA, OR
  • 1-2+ years of paid experience related to administrative support, business analyst support, project coordination/management

Security Clearance

Must be a U.S. Citizen. A high-level Department of Defense active security clearance is/may be required for this position. Applicants selected will be subject to a security investigation and may need to meet eligibility requirements for access to government information.

Physical Requirements

Work may involve sitting or standing for extended periods of time and typing and reading from a computer screen. The candidate must have enough mobility, including bending, reaching, and kneeling, to complete daily duties in a prompt and efficient manner, and that may include lifting up to thirty pounds, as necessary.
