Job Title: Administrative Assistant

Work Location: Aiea, Hawaii

Introduction:

Rivet Operations Company (“Rivet”) has an opening for an Administrative Assistant to join our rapidly growing team in the Aiea, Hawaii area. This position is in support of the U.S. Marine Corps Forces, Pacific, Security Directorate providing Administrative and Security Administration Services. Rivet is an exceptional industry partner to the Department of Defense (DoD) and a leader in cyber security, IT management, logistics, supply chain management, process improvement and development.

Essential Duties and Responsibilities: (Not listed in order of importance; other duties may be assigned) and must be able to perform the following with minimal guidance:

  • Performs a variety of clerical and administrative support tasks in support of the management functions of the Command Security Directorate.
  • Maintain, on a current basis, various alphabetical and/or subject files, procedures, regulations, manuals, and directives.
  • Create a variety of documents and reports such as news briefs, presentation briefings, flyers, preliminary text layout, and other associated correspondence as directed.
  • Provide daily, weekly, and monthly status report of tasks accomplished, pending, outstanding, or requiring extension or additional guidance clear, correct, timely and understandable manner.
  • Make written recommendations for improved work methods, organizational structure, records, and files management processes, staffing patterns, procedures for administering administrative services, guidelines, and procedures.
  • Review manuals on policies, directives, and studies on Office Administration and Security procedures and requirements to ensure directorate operation procedures are up to date and all directorate personnel are aware of the requirements.
  • Create, update, and follow up on purchase request and work request for the directorate maintaining proper documentation for requests.
  • Conducts analyses, reports, surveys, inquiries, and evaluations regarding Office Administrative processes and procedures for continuous process improvement.
  • Provide security administrative support to Command Security Directorate.
  • Prepare check in and check out documentation as required including inbound and outbound Visitor Requests, identification badges, and determinations.
  • Ensure the Government is updated on Security task status. Provide written consolidated security task report of tasks accomplished, pending, outstanding or requiring extension or additional guidance clear, correct, timely and understandable manner.

Compensation Minimum: $31.20

Compensation Maximum: $32.85

Qualifications:

Education / Experience / Certifications:

  • Must have a high school degree, or a GED equivalent. 4-year degree is preferred.
  • Willing to receive security administration training, guidance, and other government training and direction.
  • 2 years of general experience including analytical and programmatic experience in business, management, stakeholder communications, and other relevant areas.
  • Strong proficiency with Microsoft Office Applications (Word, PowerPoint, Excel, and Outlook) is required.
  • Extensive experience with handling MOUs/IAAs, to include staffing, developing, routing, verifying correct information.
  • Experience with querying/formatting/interpreting reports.
  • Experienced in working with computer-generated reports and extracting data from databases to develop and generate information and summary data to support such activities as technical evaluations, management and financial record keeping.
  • Ability to work independently, prioritize effectively, and manage time appropriately.
  • Strong critical thinking and problem-solving skills.
  • Strong verbal communication to effectively express concepts, plans, and proposals.
  • Must be a U.S. citizen and obtain and maintain the security clearance required for the position.

Physical Requirements:

Work may involve sitting or standing for extended periods of time. Position may require typing and reading from a computer screen. Must have sufficient mobility, including but not limited to bending, reaching, and kneeling to complete daily duties in a timely and efficient manner. There is a possibility that due to parking availability and location of work, walking moderate to long distance may be required. Possible lifting up to 25 lbs.
