JOB DESCRIPTION

Job Title: Executive Administrator

Location: San Diego, CA

Job Summary:

Rivet Operations Company LLC is an industry leader specializing in Procurement, Logistics, Engineering, Installation, Integration, Testing, and O&M of enterprise level IT and Communications Networks, while providing specialized personnel for short or long-term projects, both CONUS and OCONUS.

Rivet Operations Company “Rivet” has an opening for an Executive Administrator/Admin Manager to join our rapidly growing team in San Diego, CA. The position will support the Naval Information Warfare Systems Command by providing command operations professional support services. Rivet is a leader in physical and cyber security, financial management, logistics, and facilities management.

Essential Duties and Responsibilities: (Not listed in order of importance; other duties may be assigned) and must be able to perform the following with minimal guidance:

  • Must be able to independently support the following Administration services including: Payroll, Conference Planning, Travel, Data Processing, Mail, Records Management, Security, and Asset Management.
  • Must be able to independently implement processes and procedures to improve productivity and customer service.
  • Must be able to provide first class front office customer service support to the Command Operations Team which includes managing Visitors, Visitor Requests and Security.
  • Must be able to effectively manage event calendar planning, coordinate mission priorities, prepare meeting agendas, and publish meeting minutes and reports.
  • Must be able to manage the SharePoint site for upper Management and other stakeholders by frequently updating various reporting requirements, and other written documentation for accuracy that is clearly displayed on the SharePoint site.
  • Must be able to manage Project Assets including: Assignment, Management, and Disposal of Assets.
  • Must be able to provide strong administrative support for Safety Operations and Emergency Management Programs.
  • Ability to manage the Safety and Emergency Management Facilities Trouble Ticketing System.
  • Strong ability to maintain compliance with all Operational Security, Information Assurance, and Foreign Disclosure programs. Determines and grants individual personnel base or facility access.
  • Must be able to collaborate effectively with Security in credentialing all DOD employees and contractors at NAVWAR.
  • Must be able to independently manage a centralized mailroom by ensuring the proper OTC mail deliveries, and the proper divisional departments receive the accurate mail on time.
  • Strong ability to receive, interrupt, and transmit classified material to be in compliance with all regulations.

Compensation Minimum: $68,640.00

Compensation Maximum: $72,000.00

  • Must be a self-starter with the ability to work independently as well as within a collaborative team environment.
  • Strong proficiency in MS Office Suite, particularly Word, Excel and PowerPoint; and Adobe Acrobat Professional.
  • Ability to work with various personnel within the Navy and Marine Corps Organization.
  • Bachelor’s degree in Economics or Business Administration strongly preferred.
  • 3-5 years of direct professional experience in Executive Administrative Management strongly preferred.
  • Must be a US Citizen and able to obtain and maintain the required security clearance for the position.

Physical Requirements

Work may involve sitting or standing for extended periods of time.
Position may require typing and reading from a computer screen.
Must have sufficient mobility, including but not limited to bending, reaching, and kneeling to complete daily duties in a timely and efficient manner.
There is a possibility that due to parking availability and location of work, walking moderate to long distance may be required.
Possible lifting up to 25 lbs.
